Function and Scope:

Assists the Executive Director, Operations Director, Finance Director, and the Board of Directors in administrative and clerical functions.

Required Knowledge, Skills and Abilities:

Under the direct supervision of the Executive Director, the Executive Assistant is responsible for the following:

• Manage and maintain executives’ schedules

• Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software

• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution

• Open, sort, and distribute incoming correspondence, including faxes and email

• File and retrieve corporate documents, records, and reports

• Assists in an annual marketing mailing

• Prepare responses to correspondence containing routine inquiries

• Takes and accurately transcribes the minutes of the Board of Directors and certain subcommittees. Prepares Board correspondence. Prepares orientation materials for new Board members

• Oversees the initial receipt of fund raising contributions. Ensures that checks are stamped, place in denominational order and that two calculator tapes match.

• May supervise or train clerical staff members

Qualifications:

REQUIRED KNOWLEDGE, SKILLS, & ABILITIES
1. Ability to type 55 words per minute
2. Noted experience transcribing meeting minutes.
3. Self-motivated with an ability to set priorities, perform under pressure, and execute all tasks whether working independently or as a team member, with specific attention to deadlines.
4. Skilled in expressing ideas both orally and in writing
5. Ability to work with all levels of staff as well as board members and community volunteers
6. Must be proficient in Microsoft Office Suite: Word, Excel, & PowerPoint.
7. Understands the need for maintaining confidentiality of clients, Board, and staff
8. Ability to interpret and understand financial statements

EDUCATION/EXPERIENCE
1. Bachelor’s degree and one year of similar office experience.
or
2. High school diploma (or equivalent) and four years office experience

* Years of work experience may be substituted for education on a 1:1 ratio.
